Your exhibition print countdown: what to prepare before you exhibit
Exhibiting at a conference, exhibition or trade show is a significant investment. You pay for the space, the travel and your team’s time, so the stand itself needs to work hard. Printed materials are a big part of that. They turn an empty booth into a branded space, draw people in from across a busy hall and give visitors something to take away once the conversation is over.
For brands exhibiting, print usually needs to do three things:
- help your stand get noticed,
- start useful conversations, and
- keep your brand in front of people after the event.
This guide covers the main items to print before you exhibit, whether you are taking a small tabletop stand or a larger custom space.
Start with your stand goals
Before ordering anything, think about what you want the stand to achieve and how visitors will move around it. A few practical questions help:
- What size and layout is your stand?
- Are you there mainly for leads, brand awareness or direct sales?
- How much wall space do you have, and how much counter or table space?
- Will people see your stand from a distance, or mostly up close?
- What will your team hand out, and how will they capture visitor details?
- Will you follow up with leads after the show?
Once you know how people will approach and use the stand, it becomes easier to decide what is essential and what is optional.
Your stand backdrop and display
The backdrop is the first thing people see, so it does a lot of the work. Pop-up exhibition displays are portable, quick to assemble and well suited to tabletop or smaller stands. For a larger, seamless branded wall, fabric display walls create a clean backdrop for your logo, message or product imagery, and double up nicely as a photo or press backdrop.
Keep the design simple. A clear brand name, one strong message and clean visuals usually work better than a crowded layout that visitors have to stop and decode.
Banners to draw people in
Banners help people find you and read your message from across the hall. Roller banners are portable and easy to position at the edges of your stand, by an entrance or beside a product. For bolder, wider messaging, wide and super wide roller banners give you more room and stand out in busy spaces.
Whatever you choose, make sure the key message is legible from a few metres away. Keep headlines short, set text large, and place the most important information near the top.
Materials to hand out and take away
The conversations you have on the stand matter most when visitors leave with something in hand. Brochures are ideal for telling your company or product story in more detail, and give serious prospects something to read later. For quick summaries, single products or special offers, flyers and handouts are more practical and cost-effective. Postcards make compact takeaways and work well for a single message or a clear call to action, such as a discount code or a link to book a demo.
Cards and lead capture
Your team should carry plenty of business cards, usually more than you expect to need across a full event. It is also worth planning how you will capture visitor details, whether that is a digital form, a QR code on the stand or a simple sign-up sheet, so promising conversations are not lost.
Promote your stand before the show
Some of the best stand traffic is booked before the doors open. Let existing customers and prospects know where to find you. Postcards and direct mail can carry a simple “come and see us at stand X” message, and the same prompt can run through email signatures and social posts in the build-up to the event.
Follow up after the event
The leads you gather are only worth as much as your follow-up. Consistent, branded materials help here, from a printed thank-you or offer to a brochure sent alongside a quote. Following up quickly, while the conversation is still fresh, makes a real difference to how many leads convert.
